We keep this policy short and specific. It explains what we collect, why, and the choices you have.
1. Who we are and what this covers
This Privacy Policy explains how ShareSmartAI (“we”, “us”) collects, uses and shares personal information when you visit our website or use our services. For personal information inside documents our customers upload, the customer decides why and how it is processed and we act on their instructions as a service provider (or processor).
2. Information we collect
- Account and contact details: name, work email, company, password (stored in hashed form) and the details you give when you book a demo, contact support or request security documentation.
- Content you provide: documents, playbooks, questions, approvals and messages you or your recipients submit to the Service.
- Usage and device data: pages viewed, features used, approximate location from IP address, browser and device type, and log data such as timestamps and errors.
- Billing information: plan, volume and invoicing details. Payment card details are handled by our payment provider and not stored by us.

- to provide, secure and support the Service
- to create and run AI Skilled Agents, apply your playbook and route approvals
- to communicate with you about your account, security and service changes, and about our products where permitted by law, with an easy way to opt out
- to understand usage and improve the Service
- to detect abuse and meet legal obligations
4. AI and your documents
We process your documents with AI models to produce answers for you and the people you share with. We do not use Your Content to train generalized AI models without your permission. Service providers that process Your Content for us are bound by confidentiality and data-protection obligations.
Your playbook controls what an AI Skilled Agent may share and with whom. Information that you allow your agent to answer is shared with the person or AI agent asking.
5. Legal bases (EEA and UK)
Where GDPR or UK GDPR applies, we rely on: performance of a contract (providing the Service), our legitimate interests (securing and improving the Service, and business communications), consent (where we ask for it), and legal obligation.
6. How we share information
- Service providers that help us run the Service, such as hosting, email, analytics, payments and AI model providers, under contract
- Other parties you choose to share an AI Skilled Agent with, within the limits of your playbook
- Authorities and advisers where required by law or to protect rights and safety
- Successors in a merger, acquisition or sale of assets, with notice where required
We do not sell personal information, and we do not share it for cross-context behavioral advertising.
7. Cookies, local storage and third-party resources
We use cookies and similar technologies that are necessary to run the site and keep you signed in, and to remember preferences. Our pages load fonts from Google Fonts, which means your browser sends a request to Google. We do not use advertising cookies. If we add analytics or other non-essential cookies we will update this policy and, where required, ask for your consent.
8. Retention
We keep personal information for as long as your account is active and as needed to provide the Service, meet legal and accounting obligations, resolve disputes and enforce our agreements. On request, or when your account is closed, we delete or return Your Content, subject to backups that expire in the ordinary course and to legal requirements.
9. Security
We use administrative, technical and organizational measures designed to protect personal information, including access controls and encryption in transit. See our Security page. No method of transmission or storage is completely secure.
10. International transfers
We may process information in the United States and other countries. Where required, we use appropriate safeguards, such as standard contractual clauses, for transfers from the EEA, UK or Switzerland.
11. Your rights and choices
Depending on where you live, you may have the right to access, correct, delete or export your personal information, to object to or restrict certain processing, and to withdraw consent. California residents may also request information about the categories of personal information we collect and disclose, and to opt out of sale or sharing; we do not sell or share personal information as described above. We will not discriminate against you for exercising these rights.
To make a request, email privacy@sharesmartai.com. We may need to verify your identity. If you are in the EEA or UK you may also complain to your local data-protection authority. If your information is in a document a customer uploaded, we may refer your request to that customer.
12. Children
The Service is for businesses and is not directed to children under 16. We do not knowingly collect personal information from children.
13. Changes to this policy
We may update this policy. We will post the new version with its date and, for material changes, notify you before they take effect.
